Your Ace In The Hole

A guide to running a successful and exciting golf promotion.

 

Whether you are running a golf event for customer appreciation, employee incentive, or charity fundraising, the desired result is an exciting and memorable “day on the links” for all concerned. Here are some tips that will make your golf and hole in one promotion successful and rewarding for you and your guests.

DATE

  • Select a time of year that historically offers good weather conditions.
  • Avoid conflicts with major sporting events, other tournaments and holidays.
  • Consider a Monday. This affords you a larger selection of potential sites as private country clubs are often available for outside events on Mondays.

SITE

  • Look for a golf course that is “fun” to play.  A facility with a reputation of good course conditioning and an accommodating staff encourages participation.

FORMAT OF PLAY

  • Utilize a scoring format that accommodates golfers of all abilities. A scramble (selective shot) or best-ball-with-handicap competition will serve this purpose and afford an equitable event.
  • Schedule a “shotgun” starters format.  This allows your entire field to start and complete the round at the same time and provides a convenient opportunity for awards presentation and post-event functions.

SPECIAL EVENTS

  • Provide range balls for contestants prior to round.
  • Have a putting contest after the tournament or at the awards presentation. The winner of the putting contest can attempt to hole a 50-foot putt for a fabulous prize. (Call us for details.)
  • Hole-in-one prizes for par 3 holes add excitement and are so appealing they can even attract more players. These hole in one prizes can also be an additional source of sponsorship revenue. Prize coverage for cash or a car is so affordable and easy to get, sponsors will readily see this as an easy, economical way to promote their products and services to your players. Be sure to select a hole in one coverage provider that has personalized signs for all the par 3 holes so your sponsors get maximum exposure.
  • Hire the golf course’s pro to offer a “How To” golf clinic for non golfing spouses or guests while the hole in one contest round is being played.

TOURNAMENT PREPARATION

  • Pre-Event -- Meet with the pro to discuss the particulars. The pro and his/her staff will assist you in all aspects of the event.
  • Provide the pro with a pairing list (typed), with each player’s name, handicap, and starting position included.
  • Send each player a tournament fact sheet detailing the event.  Include date, starting times, directions to course, format, food and beverage plans, and any special course instructions (soft spikes only, etc.).
  • Secure or purchase tee gifts.  Make the golfers feel like they’ve already “won” before the tournament event starts.  Shirts, sweaters, caps, shoe bags, etc., make a marvelous impression and separate you from the “plastic tees and a ball marker” events.
  • Purchase the competition prizes. Also, creative and reward the winning teams with something unique such as framed golf art, antique clubs or crystal.  A prize for the top 3-5 teams is sufficient.
  • Purchase hole in one coverage and putting contest prize promotion.

DAY OF EVENT

  • Arrive early to set up registration area.
  • Position direction signs to facility on roads (if necessary).
  • Identify a bag drop area.
  • Make certain that the club has golf carts positioned and staff to accommodate the loading of golf clubs.
  • Each cart should have a sign with the golfer’s name and starting position.
  • An official scorecard and rules sheet should be placed on each cart.
  • At registration area, present golfers with their tee gifts and inform them of any changes in the rules or the schedule.
  • Prior to the start, welcome the golfers and review the rules sheet.  Remind them of any special hole in one competitions and tell them where to return scorecards.
  • Provide refreshments on the course.  Position a beverage cart on the course (at each par 3 tee) or have it circulate the course (one cart for each nine holes).
  • You and a fellow worker should “roam” the course throughout the round (one person Per each nine) to ensure a smooth round. Radios are recommended for communication. This will allow you to monitor beverage supplies, cart problems, etc.

AFTER EVENT

  • Have an “official” scoreboard listing each team by player’s name.  The pro normally provides this service.
  • Make certain the staff is available to assist golfers with their equipment loading.
  • The awards presentation should take place immediately following the completion of play IF NO MEAL IS SCHEDULED. All prizes should be displayed and a PA system should be provided for the presenter. If a meal is served, the hole in one awards should be the final agenda item.

FOLLOW-UP

  • A thank you note to your guests is always appreciated. If possible, include a brief survey or feedback opportunity.
  • If you intend to make the event an annual affair, you should reserve the facility immediately for the following year.

Unfortunately, golf tournaments And golf promotions do get rained out. Rescheduling can be a big headache. Even worse, rain-outs can result in substantial losses because of non refundable deposits and expenses, not to mention the loss of much needed revenue for charitable causes.

For organizations that hold a minimum of 10 Prize Promotion hole in one events, annually, NHIOA offers a volume discount of at least 20% off NHIOA’s standard program rates.

Frequently Asked Questions.

What do you need to give me a Hole In One quote online?

In order to give you a quote, we need the number of players, the value of the prize awarded for a hole in one contest, and the yardage of the hole(s) on which it is offered.

  • If you are unsure of the total number of players in your tournament, consider estimating on the high side. If you find you have fewer players than anticipated, you can request a refund after your event.
  • The longer the yardage (of the hole the prize is offered on), the lower the rate.
  • We will cover anything of value. Simply give us the dollar value and a description of the prize you are offering.
  • If your tournament is longer than one day, you must specify if you want coverage for multiple days.

If I get a quote am I covered?

Obtaining a quote online does not bind hole in one event coverage. Payment for your event must be made online by credit card no later than 12:00 midnight the day prior to your event.

Can I purchase coverage online?

Yes. First create a hole in one quote for your event and save it using the Archive feature. The quote can then be reviewed or modified if necessary. Once the quote reflects your final requirements, you may then bind hole in one coverage by credit card payment online -- no later than 12:00 midnight the day prior to your event. NOTE: Any changes to your event coverage must be made before payment is secured by credit card and hole in one coverage is bound.

Can we make changes to our hole in one coverage?

You can make changes to any archived quote that you created. Any changes to your hole in one coverage must be made to your Archived quote before payment is made and hole in one coverage is policed.

What is a round of golf?

We consider one round of golf to be 18 holes of play, with each player taking one shot at each of the 18 holes.

What if we're playing on a 9-hole course?

If you're playing on a 9-hole course, the target hole must be designated by hole number and whether it will be on the front or the back nine holes of play.

What if we're playing more than one day?

Each day's 18 holes of play are considered one round.  If your tournament includes two or more days of hole in one promotion or contest, you will need to be sure and designate what day or days the insured prize will be offered.

What is an Association Member?

Golf event coverage through National Hole-In-One Association is provided as a service to its membership. When you obtain golf event coverage through National Hole-In-One Association, you become an Association Member.

What do you mean by Amateur, Club Pro and Touring Pro?

  • Amateurs play golf for recreation only.
  • Club Pros teach and/or work at golf courses.
  • Touring Pros make their living playing golf.

What is an Ace?

An "ace" is a golf hole played in one stroke wherein the ball is holed in accordance with the USGA Rules of Golf.

Do you cover Closest-To-The-Pin prize winners?

No.  We award a prize only when the tournament player makes a hole in one during the course of tournament play.

What is a Shot?

A shot is defined as a "stroke" by the USGA Rules of Golf. Only one shot per player per target hole is permitted.  No practice shots, mulligans or substituted shots for other players are permitted.

Can a prize be won hitting a Mulligan?

No.  A mulligan is a free shot sometimes given a golfer in informal play when the previous shot was poorly played. Mulligans are not eligible to win a hole in one prize.

What is Prize Restoration?

We pay for each and every hole in one that is achieved during your event. That means that every participant in a tournament gets a chance to win the prize.   In 1998, National Hole-In-One Association coverage provided two players with new Mercedes Benz cars when they aced the target hole in the Carmel Country Club Pro Am. We have also paid out two hole in one prizes in the same tournament of $100,000.

Who is the Prize Sponsor?

In the event of a claim, the Prize Sponsor is the person, company or organization to whom the reimbursement check will be written. In most cases, the Prize Sponsor is who pays the cost of the hole in one event coverage.

Will the prize be awarded on the day of the event?

We recommend that no prize be awarded on the day of the event so that a confirmation of the claim can be made.

Is there a witness requirement?

Witness requirements are based on the prize value. All witnesses must be event non participants, age 18 or over, of good moral character, and appointed by the association member as follows.

  • Prize limits up to $5,000 do not require a witness.
  • Prize limits from $5,001 to $50,000 require one witness.
  • Prize limits from $50,001 to $100,000 require two witnesses.
  • Prize limits from $100,001 to $250,000 require two witnesses (one of which is a PGA Certified Golf Professional).
  • Prize limits $250,001 and above require a PGA Certified Golf Professional and videotape of all eligible shots by a second witness.

Credits and Cancellations

At this time, no credits or cancellations are available online.  If your tournament is canceled or you have a need to obtain a credit after event coverage is policed, you must complete an “Affidavit for Tournament Cancellation or Change” to request that a credit be issued. A reminder regarding credits or cancellations will be e-mailed to you when you archive a quote.

How To Buy

You may now obtain quotes and buy golf event coverage online through National Hole-In-One Association. See Frequently Asked Questions for additional information. When obtaining a hole in one quote, you can stop at any time. Return to the quote at a later time by entering your assigned quote number and password. If these are not available, you will need to get a new quote. Hole in one quotes are valid for 30 days.

What you’ll need to know to get a quote for target hole coverage.

  1. Tournament Date. If more than one day, indicate start date
  2. Number of players
  3. The hole number of the par 3 target hole
  4. The length (yardage) of the par 3 target hole
  5. The dollar value and description of the prize
  6.  9 Hole Warning!

    If you’re playing on a 9-hole course, the target hole must be designated by hole number and whether it will be on the front or the back nine holes of play. Otherwise, we will not reimburse any prize unless the hole in one is made the first time the designated hole is played by the tournament player.

    If you want prize coverage for both the front and back nine holes of play, you must designate this as two target holes.
